In December 2019, the Board authorized staff to enter into a one-year agreement (Exhibit A) with Buenavista services at a cost of approximately $54,000. The contract language drafted by Weed, Graafstra, and Associates included provisions requiring background checks for Buenavista Services employees who work in the building. Also, the contract duration is January 1, 2020, to December 31, 2020, with the option to renew for two additional one-year terms under the same terms and conditions. At that time the contract represented a savings of approximately $38,000 to the District.

In July 2020, the contract was amended (Exhibit B) following the transition of Women Infants Children services to Sea Mar as part of the adopted 2020 budget and occupancy of suite 208 in the Rucker Building as part of the District’s COVID-19 response. Changes were as follows:

• Original Agreement: $4,911.95 per month 

• Removal of Lynnwood location: $-1,385 per month 

• Addition of Suite 208 at Rucker location: $695.00 per month 

• Adjusted total amount: $4,221.95 per month for services 

The new contract value is approximately $51,000. A proposed contract extension agreement has been prepared (Exhibit C). Upon approval by both parties, the agreement will commence January 1, 2021, and terminate December 31, 2021, consistent with all applicable terms and provisions.

Consistent with Resolution 19-20 and the revised Division of Responsibilities (10/8/19), the Board of Health retains contract authority for non-legal services greater than $50,000/year or $100,000/total contract.

MOVE TO authorize the Administrative Officer to extend an existing agreement with Buenavista Services Inc. to provide janitorial services at the Rucker Building from Jan. 1 to Dec. 31, 2021.
